G6.5 Job Aid

POLICY:

There are two types of work programs administered by the College: Federal Work-Study (FWSP) and Student Employment (SEP). The amount shown for either on a Financial Aid Letter is not a guaranteed financial resource but, rather, a limit of the amount that may earn during the academic year.

PROCEDURE:

1. While the full amount of the work award may be listed under one semester, the award is for the full year. Students earn this resource by working part-time in a position posted by the Stonehill College Work-Study/Student Employment Office. 2. Paychecks are issued biweekly. As with any job, students are paid directly for hours worked. The award amount is NOT DEDUCTIBLE from the student’s tuition bill.

3. If a first-time Federal Work-Study recipient, the student will be contacted during the month of August with instructions regarding how and when to complete tax paperwork (M-4 and W-4 Forms) and I-9 documentation. If these required materials are on file when the student arrives on campus, the student will be given a Hire Form that will enable them to interview for the positions that interest them. This Hire Form will be placed in the student’s campus mailbox, if they have one, and available in the Student Aid and Finance Office, Room 131, Duffy, if they do not.

4. Job openings are posted on the bulletin board outside Room 131, Duffy, and online at www.stonehill.edu/studentaid on the second day of classes each semester. Once the student has been hired, the supervisor must complete the Hire Form, the student and the supervisor must sign it, and it must be returned to the Student Aid and Finance Office before the student can begin working.

5. If a returning student continuing in the same position, a Hire Form will be placed in the student’s campus mailbox. The supervisor must complete the Hire Form, the student and the supervisor must sign it, and the Form must be returned to the Student Aid and Finance Office before the student can begin working. Even if the student has been awarded funding through one of these programs, the student cannot begin work without the following on file in the Student Aid and Finance Office: FAFSA (Free Application for Federal Student Aid) for Federal Work-Study, FAFSA or CSS PROFILE for Student Employment, W-4 Form, M-4 Form, I-9 documentation, and a Hire Form, issued by the Student Aid and Finance Office, completed by the supervisor, and signed by the student and the supervisor.

 6. The FAFSA is required for renewal of a Federal Work-Study award.

7. If a work award is not part of a student’s financial aid package or if the student is a first-time SEP recipient, information regarding unfilled positions is available in the Student Aid and Finance Office one month after classes begin each semester. 

8. Wages earned through the Federal Work-Study and Student Employment Programs are taxable. Students will receive a W-2 Wage and Income Statement from the College during the month of January for the previous tax year.
